Instructions for onsite and online oral presenters

On site presenters should upload their slides (in .pptx or .pdf format) no later than 21 September to a link that will be emailed to oral presenters.

File format:

  • Format: .pdf or pptx
  • Aspect ratio 16:9 or 16:10
  • Resolution 1920x1080
  • Video format : .mp4

 

For presentations at Symposium Parallel Sessions, use the following filename structure: SessionNo_DayX_Surname_Firstname.ppt /pdf, where X is the day of your talk (3 or 4, corresponding to 24 Sep. or 25 Sep). Example: Session12_Day4_Santoso_Agus.

For presentations at Breakout Sessions on 25 Sep., use the following filename structure: BreakoutSessionNo_Day4_Surname_Firstname.ppt / pdf

For presentations at plenary sessions :
DayX_Surname_Firstname.ppt / pdf

Information regarding the duration, date, and session number of your presentation can be found in the detailed program.

If you make changes to your presentation, please add a version number at the end of the filename, e.g., Session12_Day4_Santoso_Agus_v2.

Instructions for pre-recorded talks

Virtual oral presenters are requested to submit a recording of their presentation (maximum 10 minutes) by 19 September. This would allow the Organizing Committee to check the sound and video quality of the recording.

Virtual oral presenters are requested to upload their slides (in .pptx or .pdf format) no later than 21 September to a link that will be emailed to oral presenters.

For presentations at Symposium Parallel Sessions, use the following filename structure: SessionNo_DayX_Surname_Firstname, where X is the day of your talk. Example: Session12_Day4_Santoso_Agus.

For presentations at plenary sessions (including Symposium opening and Pan-CLIVAR Meeting): DayX_Surname_Firstname.

Technical requirements

  • File format: please save your recording as .mp4
  • Resolution: video should ideally be on 1080p
  • Orientation of the recording: landscape
  • Sound: please use a headset with microphone, or a dedicated good quality microphone

Few tips for the recording

  • Find a quiet place to do your recording.
    • Avoid times of day with too many interruptions
    • Use a space without loud background noise
  • Make sure the room has good lighting
    • Don’t sit in front of a window
    • Turn on a few lights to keep shot well lit, not dark
  • Make a short test recording
    • You may want to use Zoom or Teams to record your talk, where you can also share your slides during the recording; MS PowerPoint is also an alternative
    • You’ll need a webcam and microphone
    • Review the test recording for sound quality, good lighting
  • Use Landscape, not Portrait
    • If using phone or tablet, rotate device to record in landscape mode, rather than portrait. This is much better for viewing.
